How we work

This is how we sell. Step by step, with the numbers.

Most agencies say they will “take care of everything”. Here we spell out what that means: what happens to your property in the first week, who works on it, where our price comes from and how long it really takes.

4 transactions
on average every working day in Warsaw, calculated over the last 10 years.
1,9 million m²
of space sold and let in Warsaw since 2004 – more than 270 football pitches.
every 7 minutes
during office hours, a new client asks us about a property or tells us what they are looking for.
since 2010
every agreement, listing and transaction in a single database. Everything you see here is calculated from it.
Timeline

What happens to your property – from the first viewing to the keys

We count time from the signing of the brokerage agreement. The stages are the same for every property; only their length differs – and we tell you that plainly before you sign.

  1. Day 0 1

    Viewing and valuation

We view the property, check the documents and compare it with transactions in the area. You get an asking price with a rationale and a plan: what, where and when.

    On-site visit and documents

  2. Week 1 2

    Preparation

We check the land and mortgage register and the legal status of the property. A photographer does the shoot, a 2D floor plan is drawn up and, where it makes sense, a video or 3D tour. Your advisor writes the listing for buyers in that segment.

Photo shoot, 2D plan, listing description

  3. Week 2 3

    Sale launch

The listing first goes to clients in our database who have asked for this kind of property. Then to a dozen or so portals, maxon.pl and social media. With an exclusive agreement – also to partner agencies.

    Database first, then the market

  4. Weeks 2–4 4

    Enquiries and viewings

The first calls from buyers usually come within a week of publication. Your advisor answers, screens, schedules and conducts the viewings – you don’t have to be at every one.

    Buyer screening

  5. Weeks 4–12 5

    Offers and negotiations

You get offers, not calls from the merely curious. We negotiate on the basis of actual transaction prices. Every two weeks you know how many views, enquiries and viewings there were and what buyers said.

    Negotiation based on transaction prices

  6. Completion 6

    Preliminary agreement, deed, keys

Half of apartments reach this point in less than 97 days from the agreement. We look after the preliminary agreement, the documents for the buyer’s bank and the notary appointment. We are there for the key handover and the utility settlement.

Time to sell

How long does a sale take? Real numbers, not promises.

Up to 30 days 13%

Buyer often from our database

31–90 days 32%

Typical time to sell

91–180 days 29%

Often higher-value properties

181–365 days 18%

Houses and niche properties

Over a year 8%

Most often the result of an inflated price

What the data shows: We sell 44% of properties within 90 days, 73% within six months and 92% within a year. A well-priced property in a popular district falls into the first two ranges; an inflated price pushes it to the right – which is the main reason we price from data, not from expectations.

Sales in Warsaw over the last 5 years, measured from the signing of the brokerage agreement to the transaction.

Valuation

Where our price comes from

Listings tell you what sellers wanted. We care about what buyers paid – and that is in our database: every one of our transactions since 2010, with price, floor area and date.

  • Transactions, not listings

We compare your property with those that actually sold in the area in recent months – similar size, standard and type of building.

  • The street, not the district

Within the same Warsaw, the median price per m² of an apartment sold by MAXON over the last 5 years is PLN 17 687 in Śródmieście and PLN 11 841 in Białołęka – a difference of 49%. Even between streets in the same district the gap can be over ten percent.

  • Today’s market, not last year’s

The median price of an apartment sold by MAXON in Warsaw rose from PLN 423 thousand in 2018 to PLN 793 thousand in 2025. We track this continuously, so we never price at levels that no longer apply.

  • An asking price with a rationale

You get not a single number but a range, a list of comparable transactions and a recommended strategy: a price with room to negotiate or a price for a quick sale.

Please note: The valuation is free of charge and is not a formal appraisal report – it is a market recommendation, and the final decision on the asking price is yours.

Listing distribution

Where your listing goes – and in what order

Order matters. First the people who are already looking, then the market.

  1. 1

    MAXON’s database of active searchers

18,5 thousand search requests a year

Clients who have told us what they are looking for – district, size, budget. We match your listing to their criteria before it reaches the portals.

    First 48 hours
  2. 2

A dozen or so property portals

Otodom, Morizon, Gratka, Domiporta, Nieruchomosci-online. Standard publication plus promotion of the listing where buyers in your segment search most often.

    Week 2
  3. 3

    maxon.pl and 7 branches

    122 advisors

Your listing on our website and in every branch – 122 advisors see it in the database and can bring in their own client.

    The whole MAXON network
  4. 4

    Social media

Publication and – with an exclusive agreement – paid promotion targeted at people interested in that district and that type of property.

    Meta and LinkedIn
  5. 5

    Partner agencies

With an exclusive agreement, other real estate agencies promote your listing too. Any of them can bring a buyer; you settle only with us.

Team

One advisor. A whole team behind them.

You talk to one person. Several more work behind them – each doing one thing, and doing it every day.

Documents and legal status

Before publication we check the legal status and the land and mortgage register, then gather the documents for the preliminary agreement and the notarial deed.

Photographer and media

A professional photo shoot, a dimensioned 2D floor plan and, where justified, a video or 3D tour.

Marketing department

Publication on portals, paid social media campaigns and editing of promotional materials.

Back office and analytics

Updating the transaction database, reports for sellers and matching new searchers to your listing.

Your contact

Lead advisor

One phone number from valuation to key handover. Always a specialist from the department that handles your type of property: apartments, offices, warehouses or land. They conduct every viewing and the negotiations.

Continuity of service

If your advisor is on holiday, the sale doesn’t stop – someone from the same department steps in, with access to the same database and the full history of the listing.

Availability Working days
Reports

You know what is happening – without having to call and ask

A report every 2 weeks

Listing views on the portals, the number of enquiries, the number of viewings and – most importantly – exactly what buyers said after seeing your property.

Statistics and buyer feedback

A recommendation, not just a report

If after 4 weeks there are views but no viewings, your advisor tells you plainly: the problem is the price, the photos or the description – and proposes a concrete solution.

Adjustments during the sale

One direct contact

The mobile number of your lead advisor, not an anonymous hotline. On working days they pick up and keep you informed of any changes.

What we check before you sign anything

Stage 1

Before publication

  • Land and mortgage register and encumbrances (mortgages, entries in sections III and IV)
  • Legal status of the unit, the homeowners’ association or the housing cooperative
  • Easements and any third-party claims
  • Floor area matching the documentation
  • For land: local zoning plan or zoning decision (WZ), access to a public road, utilities
Stage 2

During the process

  • Buyer verification: creditworthiness or proof of own funds
  • A preliminary agreement that reflects what both parties agreed
  • Clear rules for paying and refunding the deposit
  • A schedule for the certificates needed for the deed
Stage 3

Deed and handover

  • A complete set of documents for the buyer’s bank
  • The notary appointment and agreeing the draft deed
  • Handover report
  • Meter readings and utility settlement
  • Key handover in the presence of your advisor

Every transaction handled by MAXON is covered by real estate broker professional liability insurance.

Renting

Letting your property? Same method, shorter time.

Valuation based on transactions, a photo shoot, publication in the order “database first, then the portals” – just as with a sale. The difference is the time: half of the apartments we take on for rent find a tenant in less than 56 days from the agreement. And the safeguards: we verify the tenant and insure the rent – you will find details of the Landlord Package on the listing page.
